The hidden cost of using 6 apps to coordinate one task

In one of my businesses, sales did the client signup.

The close. The contract. The "they're a customer now."

And the handoff was an email.

An email that, more times than I'd like to admit, didn't go out on time.

Customer Success never found out. Implementation didn't start. The client had already bought. They were already waiting. And on the other side: silence.

Annoyance. Uncertainty. Friction.

And later: possible churn. A client who leaves not because the product is bad. Because nobody talked to them when it was time.

The signup DID exist. In sales' head. In their inbox. In an "I'll send it in a bit."

Customer Success couldn't see it. Neither could I. Until the client was already angry.

The message got left at someone else's house

Coordinating one task across six apps is like sending a message through six people. Each one swears they already passed it on. The client is at the door. Nobody has the message.

You can "coordinate" it.

It will get lost.

And nobody will be able to tell you when it disappeared.

It's not that your team is messy. It's that you asked them to play broken telephone… with half the messages OUTSIDE the circle.

One task. Six apps. Zero thread.

Take the most boring and most vital process in a Mexican company: a prospect becomes a customer, gets invoiced, and pays.

It looks like this:

  • The "it's done" lives in WhatsApp
  • The "who invoices this?" lives in Slack. Or the group. Or a "I passed it to you"
  • The aging report lives in Excel. Yellow, green, red. Depending on who opened it
  • The PDF goes by email. If it didn't land in spam
  • The stamp lives in the invoicing tool. Another login. Another tab
  • The "did they pay?" lives in the bank. Or a screenshot. Or an "I saw the transfer"

Six places.

One account.

Zero story you can read front to back.

Each jump is not a click. It's a hole. You have to remember WHERE it landed. Who has the latest version. Whether that 11 p.m. voice note was this client or the other one.

Do the math with me. This is not a study. It's a napkin.

Each jump costs you about two minutes. Find the thread. Remember the app. Ask who has the number.

Fifteen jumps a day —and that's a QUIET day— is THIRTY MINUTES.

Two and a half hours a week.

More than a work week per year.

Per person.

If five people touch the same process, that's a month of work gone. Looking. Not selling. Not collecting. Looking.

That hurts.

And it still isn't the hidden cost.

Private does not get audited

Time is the cost everybody sees. The one we don't see is worse.

As an owner, you lose CONTROL of communication the second it stops being public.

If there is no place the team can see, the conversation goes private.

A one-to-one WhatsApp.

An "I'll send it internally."

An email that only reached the person who was in a bad mood that day.

That does not get audited.

That does not get reconstructed on Friday.

That does not warn you when the message changed hands and got lost.

You can be in every group. You can reply fast. You can "stay on top of it."

If the real handoff happened in an email that never went out, you don't have an operation. You have faith.

Faith that sales told Customer Success.

Faith that the email went out.

Faith that implementation had already started.

Faith does not implement. Faith does not collect. Faith does not tell you on Monday what happened on Thursday.

The handoff is where the problem gets made

I already wrote this: the handoff is where the money falls.

Here I lived it.

Sales closes. Does the signup. "It's done."

The message was an email. If it didn't go out, Customer Success didn't exist on that account. Implementation didn't start. The client didn't see six apps. They saw a gap. A silence. A "I'll confirm in a bit" that lasts three days.

That is not a motivation problem. It's a PLACE problem.

The communication of a vital process cannot live in private. Not the signup. Not prospecting. Not the invoice. Not the collection. Because private disappears. Because private has no owner. Because private has no date.

And when it disappears, the owner is the last to find out.

Usually when it is already a real problem. Angry client. Implementation delayed. Cash stuck. The fight between areas that "the other one never tells us." A churn you could see coming and nobody saw.

The other one did tell. In an email that belonged to nobody. Or that never went out.

The rule: if you can't reconstruct it, it isn't yours

I kept one rule. Ugly. Useful.

If you can't reconstruct a sale, a signup, and the start of implementation WITHOUT asking someone… you don't have an operation.

You have a pile of group chats with a tax ID.

The test is simple. Pick an account from this month. Open it. Follow the thread:

  • Who prospected
  • What was promised
  • Whether they were signed up
  • Whether Customer Success found out
  • Whether implementation started
  • Whether it was invoiced
  • Whether it was collected

If putting that story together means six tabs and four messages, the process is not yours. It's on loan. In people's heads. In DMs. In the spreadsheet nobody updated.

A company scales when that story lives in one place. PUBLIC to the team. One that survives if Juan gets sick on Friday. One the owner can read on a Sunday without asking for the WhatsApp at 11 p.m.

One thread. That's why Actiun.

And no: consolidating is not automating everything either. If nobody lets go of the spreadsheet, you just have seven places to lose the thread. That could be a full POST.

Base camp is not the software. It's that the team can't hide the handoff.
